This Privacy Policy explains how Ikigaia Oy ("Ikigaia", "we", "us") processes personal data in connection with the website ikigaia.fi and when you contact us. It is written to meet the requirements of the EU General Data Protection Regulation (GDPR) and the Finnish Data Protection Act. For details of the cookies we use, see our Cookie Policy, which forms part of this notice.

1. Who is responsible for your data

The controller for personal data collected through this website is:

Ikigaia Oy (Y-tunnus 2709151-2)
Myllärinmäki 32, 53550 Lappeenranta, Finland
Email: mikko.ruuska@ikigaia.fi

Ikigaia Oy is the parent of Ikigaia Regeneering Oy, Ikigaia Innovations Oy and Loonshot Factory Oy. This notice covers the ikigaia.fi corporate site; the entity sites (regeneering.co, loonshots.fi) publish their own notices.

We have not appointed a statutory Data Protection Officer, as we are not required to. For any question about your data, contact us at the address above.

2. What data we process, and why

We keep data collection to the minimum needed to run the site and respond to you.

Website analytics. If — and only if — you accept analytics cookies in our consent banner, we use Google Analytics 4 (measurement ID G-0F7MG41829) to understand how the site is used in aggregate (pages viewed, approximate location, device and browser type, referring source). We use Google Consent Mode v2: before you make a choice, no analytics cookies are set and no analytics data is sent. If you reject, none is collected. We do not use advertising, profiling or cross-site tracking cookies. The specific analytics cookies and their lifetimes are listed in our Cookie Policy.

  • Legal basis: your consent (GDPR Art. 6(1)(a)). You can withdraw it at any time by declining or clearing cookies (see section 6).

When you contact us. If you email us or book a meeting through our scheduling link, we process the contact details and message content you provide, so we can respond and, where relevant, take steps toward a business relationship.

  • Legal basis: our legitimate interest in responding to enquiries and managing our business relationships (GDPR Art. 6(1)(f)), and, where you are asking us to take steps toward an agreement, the pre-contractual basis in Art. 6(1)(b).

We do not collect special-category data through this site, and the site is not directed at children.

3. Who processes data on our behalf

We use a small number of established service providers ("processors") who handle data only on our instructions:

  • Google (Google Analytics) — website analytics, only after you accept analytics cookies.
  • Microsoft — our email (Microsoft 365) and our meeting-booking tool (Microsoft Bookings), used to receive and respond to your messages and scheduling requests.
  • Our website hosting/build platform — serves the site and its infrastructure.

Some of these providers may process data outside the European Economic Area. Where that happens, the transfer is covered by an appropriate safeguard under the GDPR, such as the European Commission's Standard Contractual Clauses or an adequacy decision.

We do not sell personal data, and we do not share it for advertising.

4. How long we keep data

Enquiry correspondence is kept only as long as needed to deal with your request and to maintain any resulting business relationship, and is then deleted or archived. Aggregated analytics data is retained in Google Analytics for the retention period configured for the property; cookie lifetimes are set out in the Cookie Policy.

5. Your rights

Under the GDPR you have the right to access your personal data; to have it corrected or erased; to restrict or object to its processing; to data portability; and to withdraw consent at any time (without affecting processing already carried out). To exercise any of these, email us at mikko.ruuska@ikigaia.fi.

If you believe we have handled your data incorrectly, you can lodge a complaint with the Finnish supervisory authority, the Office of the Data Protection Ombudsman (Tietosuojavaltuutetun toimisto, tietosuoja.fi). We would appreciate the chance to address your concern first.

6. Managing cookies and consent

You choose your cookie preferences in the banner shown on your first visit; rejecting is as easy as accepting. To change your choice later, clear this site's cookies in your browser and reload the page to bring the banner back, or adjust cookie settings in your browser. Full detail is in the Cookie Policy.

7. Changes to this policy

We may update this policy as the site or our processing changes. The "last updated" date above reflects the current version.
